Requirements:
- All officers shall have been participating members of SASA for at least one (1) year.
- Nominations are presented at the October General Membership Meeting.
- Elections will be held at the November General Membership Meeting.
- Officers shall be elected by a majority vote of the general membership present.
Duties of the President: (Edward Toy)
- Supervise the affairs and activities of the association.
- Represent the association within the community.
- Preside and maintain order at all meetings.
- Appoint all committees as deemed necessary by the Board of Directors. All appointees
must be approved at a general meeting.- Appoint a Nominating Committee in accordance with Article VIII section 2.
- Act as Ex-Officio Member of all committees.
- Work with the Treasurer that all tax paperwork and returns have been completed and
submitted in a timely manner.
Duties of the Vice President – Intramural Coordinator: (Jillian Toy)
- Perform the role of the President in their absence.
- Represent all intramural coaches and players at all business meetings.
- Supervise the preparation of team rosters and maintain current rosters.
- Supervise the scheduling of practices and games.
- Appoint coaches for the intramural teams.
- Keep the Board apprised of the intramural program.
- Appoint any member to a position that will assist them in their role.
Duties of the Vice President – Travel Team Coordinator: (Sean Duffy)
- Represent all travel team coaches and players at all business meetings.
- Organize and administer travel teams.
- Appoint travel team coaches for confirmation by the Board of Directors.
- Verify scores are reported as required by the leagues the teams are participating in.
- Keep the Board of Directors apprised of the travel team program.
- Represent SASA at all required meetings by the leagues that SASA participates in.
- Coordinate and secure gym time for indoor travel teams with regard to practice and
games. - Responsible for distributing the SASA travel guidelines and anticipated expenses to all
parents and guardians of travel players. - Appoint any member to a position that will assist them in their role.
Duties of the Secretary: (Jillian Toy)
- Record the minutes of all business meetings.
- Maintain complete records of all association activities.
- Maintain a current list of elected officials, appointed positions, and membership on
standing committees. Names, addresses, e-mail addresses, and cell phone numbers
should be included. - Distribute minutes to the Board of Directors within one week of the conclusion of a
meeting. - Maintain a listing of all members in attendance at all association meetings.
- Inform all Board members and interested parties of all regularly scheduled and special
meetings.
Duties of the Treasurer: (Dennis Frankenfield)
- To collect all money due to SASA and to deposit such funds to appropriate accounts.
- Assume complete responsibility for all association finances.
- Keep the books and financial records of the association.
- Pay bills as authorized by the Board of Directors through the issuance of checks.
- Prepare monthly financial reports.
- Prepare a budget for submission at the January Board meeting.
- Secure approval by the Board of Directors on all non-recurring normal business expenditures over $250.
- Coordinate all areas concerning insurance, both in selecting the types and companies. This also includes the disbursement of claim forms to those needing them.
- If applicable, assume responsibility for preparing tax returns.
Duties of the Treasurer – Travel: (Jason Ripka)
- To collect all money due to Souderton Travel and to deposit such funds to appropriate accounts.
- Maintain complete records of all Travel activities
- Assume complete responsibility for all Travel finances.
- Keep the books and financial records of the Travel Teams.
- Pay bills as authorized by the Vice President – Travel Coordinator through the issuance of checks.
- Prepare a budget for submission at the January Board meeting.
- Provide all financial records to the Treasurer.
Duties of the Equipment Coordinator: (Mickey Hurley)
- Assume complete responsibility for the maintenance, procurement, distribution, repair, and storage of all the equipment owned by SASA.
- Evaluate and present for the Board of Directors authorization, the equipment needs for the upcoming season, prior to the start of the season.
- Procure quality equipment at competitive prices. All authorized purchases in excess of $2,000 shall be procured by at least three (3) competitive bids.
- Replacement equipment valued at less than $25.00 per item may be obtained without prior approval of the Board.
- Keep records of equipment expenses and inventory.
- Distribute equipment to coaches. Outline their responsibilities with regard to care, minor repair, and return at the end of the season.
- Post season retrieval and storage of equipment.
Duties of the Registrar shall be as follows: (Jillian Toy / Sean Duffy)
- Be responsible for documenting all player/volunteer registration.
- Be responsible for distribution of registration materials.
- Be responsible for turning over all registration forms, broken down by age group to the Vice Presidents.
- Be responsible for rostering all travel teams and all intramural players with EPYSA.
- The Registrar’s will be appointed by the Vice President’s.
Duties of the Rec-Select Coordinator: (Bill Hettel)
- Collect rating sheets from the Vice President – Intramural Coordinator to use to help establish rec-select teams.
- Schedule a meeting with interested coaches who wish to participate in Rec-Select tournaments.
- Register teams for rec-select tournaments.
- Collect registration forms and payments from players.
- Supervise the scheduling of practices.
- Report out to coaches their schedules for tournaments registered.
